KABOD SECURITY – STANDARD OPERATING PROCEDURES
1. MAJOR INCIDENTS
WHEN ANY OF THE ABOVE MENTIONED MAJOR INCIDENTS TAKE PLACE IN YONDER HILL COMPLEX, CONTACT THE GUARD HOUSE AT 072 190 8807
1.1. MURDER:
- Place security personnel strategically around the cordoned area.
- Inform the security personnel that nobody except the SAPS is allowed to enter.
- Inform the gate personnel that every person leaving should be recorded and identified.
- Notify the control room and Kabod manager
- Notification of SAPS by order from the above mentioned people.
1.2 ASSAULT:
- Get statements from all parties involved.
- Get a detailed description of the suspect.
- Notify the control room and the gates of the suspect’s description.
- Search for the suspect.
- Notify the SAPS if any of the parties want to lay a charge.
- Complete an incident report and hand it to your manager.
1.3 BREAK-IN OR THEFT: (Get as much information as possible)
- Inform the resident to report the incident to the SAPS.
- Draw up a list of items stolen.
- Contact the SAPS for fingerprints.
- Post a security officer where the incident took place.
- Inform the gate personnel that random searches are to be conducted.
- Complete an incident report with all the information gathered
- INFORMATION NEEDED:
– Date of the incident.
– Address where the incident took place.
– Name of the owner or the resident.
– I tems stolen.
– Description of the incident:
1. how was entry gained?
2. Are there any visible footprints etc?
2. FIRE
2.1. FIRE FIGHTING
- Once certain that a fire has started locate the position of the fire and ascertain if you can bring the fire under control.
- Ascertain the type of fire and by using the correct type of fire extinguisher try to extinguish the fire. If you cannot bring the fire under control sound alarm and evacuate the area.
- Notify the fire department and upon arrival of the fire brigade, follow their instructions.
- Assist with the evacuation procedure. Open relevant gates. Contact the client.
- Advise KRM’s control room of the incident and request them to contact the manager.
- Once the situation is resolve, complete and OB entry with full details of the incident and endorse KABOD RM control room OB number as reference
2.2 EVACUATION:
- Once certain that a fire has started locate the position of the fire and ascertain if you can bring the fire under control.
- If you cannot bring the fire under control sound alarm and evacuate the area.
- Advise KRM’s control room of the incident and request them to contact the manager.
- Await further instructions.
- If in radio contact with other security officers, give specific instructions and delegate tasks for example:
- Assist with injured victims.
- Man emergency escape doors.
- Open relevant gates.
- Notify client.
- Direct the fire department to the area.
- Assist with any further instructions given.
- Ensure that an OB entry is made in RED and that a detailed incident report is compiled in triplicate
NOTE:
– Always remain calm, don’t panic.
– Take control of the situation.
– Delegate tasks.
– Follow procedures in a logical sequence.
– Remember that a person’s life is more important than property. Always ensure that lives are saved before anything else.
NB! PERSONS WITH CRIMINAL INTENTIONS MAY MAKE USE OF THE SITUATION FOR CRIMINAL ACTIVITY. ALWAYS REMAINS ALERT. SHOULD SUCH AN INCIDENT OCCUR, DETAIN THE SUSPECT AND STOLEN GOODS AND NOTIFY THE CLIENT AND THE AREA MANAGER.
3. FIRST AID
- In the event of a person being injured on site give first aid attention where necessary.
- Calm the injured victim/s and if possible remove from the danger area.
- Notify the first aid representative if any, client, KABOD RM Area managers and KABOD RM security control room.
- In thE event of a serious injury onsite notify the ambulance without delay
- Assist with any further instructions given.
- Once the situation is back to normal, compile a detailed OB and incident report (triplicate)
4. ON SITE ACCIDENTS
- Report any accidents on site to the client.
- Complete incident report after completing OB.
- Inform the Control room.
5. ACCESS / EGRESS
5.1 RESIDENTS:
- All residents are in possession of remotes to gain free access / egress to the premises 24 hours a day. If a staff |member reports that his / her remote is lost direct them to mr. Jack Roos or Kabod RM Management/ Supervisors. OB Entry ofbthe communication immediately.
- Residents with more than one vehicle to purchases additional remotes.
- All residents without remotes will be treated as visitor and have to oblige to the visitors access control system in place before security opens for them.
- Security remote is only for emergency, e.g. Ambulance, Fire Dept. and SAPS not residents.
5.2 EMERGENCY VEHICLES:
- The gates to the complex may only be opened for SAPS vehicles, Ambulances and Metro police.
- The Sheriff of the court has free access to the premises during office hours. Security officers to contact the caretaker for permission to open for the Sheriff.
5.3 ACCESS CONTROL:
- Only persons in possession of a remote or the tenant has opened for him/her is allowed to enter the complex only after security has completed the visitors’ access control system.
- Ensure that no persons gain access to the premises in any other way accepts the prescribed way e.g.Climbing over fences / walls or gates.
- Ensure that all domestic workers collect and return their ID cards. If any person fails to comply with these procedures, contact the caretaker immediately. An entry to this effect must also be recorded in the OB with the following information: Date, time, person’s name and stand number of employee.
5.4 ACCESS CONTROL: CONTRACTORS
- Make us of the access control system. The following information will be recorded:
Date
Vehicle registration number
Time in / out - NO VEHICLES EXCEEDING THE 5 000 KG GROSS VEHICLE MASS (GVM) ARE ALLOWED TO ENTER THE PREMISES.
5.5 VISITORS:
- There are only two ways that the visitors can gain access into Yonder Hill Complex; a) By phoning the resident inside the complex to open for him/her through access control system in place b) Residents coming to the gate to open for their visitors using their remotes.
- Every resident is responsible for his/her visitor.
- Residents to open for their visitors.
- The security get-way remote is only for emergence purposes not for visitors or residents.
- If a resident doesn’t open for his/her visitor, then the visitor can’t be allowed access into the complex
- Residents to use their remotes.
Security to make use of the visitor’s access control system before any visitor can be allowed into the complex. - Security will open only for the emergence e.g. SAPS, AMBULANCE, and FIRE DEPARTMENT AND ARMED RESPONSE ONLY not residents or visitors.
- All visitors’ vehicle is subject to be searched when requested on entering or exiting the premises.
- All residents without remotes will be treated as visitors.
- The visitor/contractor must then phone the resident regarding his/her visit. The resident is then responsible to open the gate remotely or through the gate keeper system telephonically. There should be no other way for the visitors/contractor to enter the complex. If the resident does not answer his/her phone, no entry will be granted to the visitor/contractor.
- If the visitor does not answer have the phone number of the resident, no entry.
- No response, no entry.

5.6 EGRESS CONTROL:
- Visitor/s must ensure that they have received a PIN code for exiting the premises. The PIN code given by resident should be entered on the keypad at exit gate.
5.7 REMOVAL OF COMPLEX PROPERTY:
- The following procedure to be strictly adhered to for the removing of property off the estate:
- Any property / equipment removed from site by staff, contractors or visitors should be accompanied by a signed delivery note that will be used as a pass out.
- Verify the authorisation signature by contacting the client / resident.
- No equipment or other form of property, even perceived waste or obsolete items, however small should be removed from the premises without prior written approval by the resident or the client.
- Private property / scrap / office equipment removed from site must be accompanied by a removal permit.
- Parts removed from the property must be accompanied by a delivery note or invoice.
